Now Hiring: Planning Clerk

The Town of Amherstburg is currently recruiting for a Planning Clerk.

Reporting to the Manager, Planning Services, the Planning Clerk ensures regulatory requirements are achieved and ensures that customer service issues are resolved so that residents have a high satisfaction level with the Town.

Responsibilities

  • Provide customer service on matters related to the Planning division, and provide assistance to the Building division as required
  • Manipulate images of various file types including resizing, cropping and importing among various applications
  • Integrate multiple document types such as Word, Excel and PDF files including using Optical Character Recognition
  • Typing and circulation of numerous documents including but not limited to By-laws, Subdivision and Site Plan Agreements, official plan and zoning By-law amendments, agendas, minutes, and Committee of Adjustment notices and decisions
  • Prepare, format and coordinate the statutory compilation of mailing public notices lists for official plan and zoning By-law amendment applications, severance and minor variance applications in strict accordance with legislated timelines
  • Copy and update amendments to the official plan and zoning By-law
  • Create files and maintain filing system
  • Input data and maintain summary of all subdivisions/site plan agreements, minor variances and severances
  • Log all Planning Services applications and track over all stages of the development process
  • Prepare letters to Engineer for drainage apportionments
  • Coordinate with external legal firms and prepare letters to lawyers returning deeds for severances, registration of agreements on title
  • Execute property title searches via the OnLand land registry portal
  • Prepare initial structurally sound Council reports and By-laws, gathering background files, history and structural requirements for formal management and planning team review
  • Remediate documents for full compliance with AODA accessibility standards prior to publication on Town’s website
  • Post information on the Planning section of the Town’s website
  • Research and investigate various issues that arise through inquiries with ratepayers and other departments
  • Open incoming mail and prepare outgoing mail
  • Process, track and reconcile departmental vendor invoices verifying billable line items against municipal purchase orders and routing documentation through the corporate ERP system to the Finance department for paymen
  • Order office supplies
  • Collect fees for Planning applications and Building division when necessary
  • Other duties as assigned

Qualifications

  • Must have a recognized 2-year college diploma or a recognized certificate in a related field including public administration or planning/municipal education
  • Thorough knowledge of administrative, customer service, and public environments
  • AMCTO (Primer on Planning, OACA course) is preferred
  • Excellent organizational ability, oral communication, and written communication skills
  • Working knowledge of the Planning Act
  • Familiar with municipal administrative procedures required to compile background data and prepare initial, structurally sound Council reports and by-laws
  • Demonstrated interpersonal skills in dealing with the public, staff, Councillors, committee members, outside groups and agencies
  • Proficiency in Microsoft Outlook, Excel, Word, Adobe Acrobat Professional, Power Point and image editing software
  • Proficiency using Microsoft Teams using internal task-tracking mechanisms (such as Lists, Planner, or Tasks) to log applications and demonstrate status of Planning Act applications at all stages of land development
  • Familiarity with the OnLand land registry system, including the direct ability to execute property title searches and verifying underling land data
  • Familiarity with basic municipal accounting practices

Work Experience

  • Minimum of 3 years’ relevant administrative experience in a municipal planning/building department or real estate / municipal law firm
  • Experience using an ERP
  • Experience using GIS end user software
  • Experience working in a networked environment

Work Conditions

Work involves sitting and working on a computer for extended periods of time, and light lifting up to 10 kg.

The 2026 wage rate for this unionized position is $33.63/hr.
